OFFICE HOURS/ HOLIDAY POLICY

Our office hours for administrative tasks, planning, organising, and communications are from 9 am to 2 pm, Monday to Friday. However, we want to be transparent about the fact that as a mother of two beautiful children, my availability may vary. There may be instances where I need to email you outside of the regular office hours, such as in the early morning or late at night. Please rest assured that I don't expect you to respond during those times.

In certain cases, we may also work on weekends for content creation and 1:1 consultations, depending on our availability. We understand the importance of maintaining a consistent presence on social media, so we strive to schedule and manage your socials even during weekends and public holidays. However, please note that we do observe public holidays and may take additional holidays throughout the year. We will always provide prior notice for any time off, and we will make sure to schedule your social media content in advance to ensure a smooth operation during our absence.

We also want to emphasise that unforeseen illnesses or events may occur, which may require us to reschedule or adjust our administrative tasks. We appreciate your understanding and flexibility in such situations.

COMMUNICATION CHANNELS

To ensure effective communication, we highly recommend reaching out to us via email. Email provides an excellent paper trail and allows for easy file attachments if necessary. We make it a priority to respond to emails within 1-5 business days. However, if you have an urgent matter or want to share inspiration directly from Instagram, you can also contact us via direct message @stayawildflower.

SOCIAL MEDIA MANAGEMENT

SOCIAL MEDIA MANAGEMENT SERVICES

All social media management services operate on a 3-month retainer basis and cannot be canceled at any time during this period. However, we understand that unforeseen financial hardships can occur. In such cases, we can postpone and pause our work together for the remaining months, with a 2-month break window. After the two-month window, we will resume charging and continue the retainer. It is important to note that we reserve the right to cancel social media management retainers if clients continuously fail to comply with our terms and conditions. While our goal is to work with everyone and provide the best service possible, it is crucial to maintain a mutually respectful and professional working relationship.


PAYMENTS

For social media management payments, all payments must be made by the due date. If you have chosen our weekly installment plan, please note that there will be an additional $5 fee added for administrative purposes. The first payment must be made 2 weeks in advance, and subsequent payments should be made on a weekly basis. It is important to ensure that all weekly payments are made by the due date. If you anticipate any difficulty in making a payment by the due date, please communicate with us BEFORE the due date to avoid any issues with overdrawing our accounts. Failing to make payment by the due date can result in a $25 late fee.

ADDITIONAL SERVICE FEES

Please be aware that we may add on service fees or administrative fees as deemed necessary. This may include charges for constant changes to strategic plans, modifications to content plans, payment late fee’s, or the addition of extra accounts that exceed the agreed-upon scope of work. Examples of additional services that may incur fees include travel expenses, hiring models, food expenses, professional photographers, props and flowers, studio rentals, or paid advertisements on social media. We will inform you in advance of any applicable fees.

GENERAL POSTING / APPROVAL PROCESS

For clients who have chosen our social media management packages, please pay close attention to the following information:

Every week, we will provide you with a weekly content plan for your approval before we proceed with posting on your behalf. To ensure a smooth workflow, we kindly request that you provide us with any necessary information by the day you have chosen per week during your induction during business hours. This includes details on what you would like us to focus on, any promotions, personally addressed captions, advice captions (based on your expertise), and any designed graphics, among other requirements. Meeting this deadline is crucial as it allows us sufficient time for thorough planning and any necessary changes. Failure to provide the required information by the day you’ve chosen within business hours may result in a decline to make changes, and we will proceed based on the content provided. However, please note that we may request additional information or seek clarifications if needed.

In your induction you will be given a day which is dedicated to creating and working on your weekly content plans to ensure that they are approved by Sunday’s for implementation. It is of utmost importance that you review and approve all weekly content as quickly as possible to avoid any delays in the workflow we have scheduled for you. Failure to reply or communicate for approvals by Sunday’s may have an impact on your goals, and we will not be held liable for any resulting consequences.

As social media managers, we rely on you to provide the content for your social media accounts. While we can create mash-up reels using the content you provide, please note that any reels requiring graphic designs must be provided by you chosen day deadline.

If you feel that your social media presence is not gaining the desired traction, we encourage you to contact us for insights and suggestions for the following week. We are here to support you and help you achieve your social media goals.

CONTENT REQUESTS

We are more than happy to accommodate additional posts as needed. If you have a current event or an "in the moment" post to share, such as a press mention, giveaway, or user-generated content from influencers, we can include it when it aligns with our planned content. However, we want to ensure that you understand the potential impact of last-minute changes to the content plan. Such changes can disrupt the overall theme and aesthetic that we are working to achieve. They may also affect the desired results, and we will not be held liable for any consequences arising from such changes. Therefore, we kindly request that you consider the urgency and consult with us before making any last-minute content requests.

Planning ahead is in everyone's best interest when it comes to effectively communicating and amplifying upcoming promotions, sales, giveaways, and other important events on social media. Remember, we are a team, and our goals are aligned. To maintain a cohesive and strategic plan, we kindly ask that you refrain from randomly posting content outside of the provided content media plan. Doing so may disrupt our carefully crafted strategy and cause confusion in achieving our agreed-upon objectives. If you have any questions or concerns, please don't hesitate to reach out to us for clarification.

REPORTING

To keep you informed about the progress of your social media accounts, we will provide you with a monthly report and a quarterly review. At the end of each month of your 3-month retainer (for social media management packages), we will deliver a monthly report that outlines how your social media accounts are performing and the improvements we have made. Additionally, at the end of the quarter, we will provide you with a comprehensive quarterly review to evaluate the results and discuss the option to continue working together.

Your reports will be delivered via email in PDF format. If there is a need for further discussion or clarification regarding the reports, we are also available for video chats to address any questions or concerns you may have.

PHOTOGRAPHY

CONTENT CREATING SERVICES

If you require photography services, we are here to help you plan and create the type of photographs you desire. Depending on your needs, this may involve product samples, models/locations, videos featuring you or your brand, and more. Together, we will discuss the finer details and determine what each of us can contribute to support your vision. It is important to note that if we need to provide any additional resources, such as professional photographers or props, there may be an additional cost involved.

Your images will be provided to you through a shared link that will expire after a certain period. We recommend saving all the images and videos received via email. If you require any additional items like prints, USBs, canvases, or other formats, please understand that these will need to be purchased separately by you, the client. Additionally, it is your responsibility to obtain any necessary permissions for entry at applicable locations and to inform the photographer of any restrictions or policies in place at those locations.

Please be mindful, your final images will be ready 1-4 weeks after your shoot, we will provide you with any sneak peaks from the day.

We do not give raw files.

We want to ensure a smooth photography experience, so it is important that the client and any relevant parties arrive on time for scheduled sessions. Delays resulting from late arrivals or unforeseen circumstances may result in the inability to provide certain requested photographs. Moreover, it is the client's responsibility to prevent guest photographers from interfering with the designated official photography time.

PAYMENTS

To secure your photography/content session, a non-refundable and non-transferable 20% deposit is required at the time of booking. The remaining payment must be made at least 1 week prior to your photoshoot. For any sale/offers opportunities, full payment is required at the time of booking.

ADDITIONAL SERVICE FEES

Examples of additional services that may incur fees include travel expenses, hiring models, food expenses, professional photographers, props and flowers, studio rentals, or paid advertisements on social media. We will inform you in advance of any applicable fees.

Due to the nature of preventing loss of income, your 20% deposit is not transferable within two weeks of the original photoshoot date. When it's required to postpone, please be mindful that you will be required to pay another 20% to secure another date. It is extremely hard to fill last-minute photoshoot spots and postponing only takes away someone else's potential to book, resulting in a loss of income for me.

CONTENT CREATIONS

If you have selected our Content Creators option, it means that we will come to a place of your choice to create customised content for your social media platforms. This is an excellent opportunity to establish your brand's theme, mission, and vision while ensuring that the content produced aligns perfectly with your goals. We recommend making content creation a regular and consistent practice, although the frequency can be adjusted based on your budget and needs.

As part of the Content Creators option, we can help you plan and create various types of content, which may involve product samples, models/locations, videos featuring you or your brand, and more. Together, we will collaborate on the finer details and determine what each party can contribute to support your vision. Please note that if we need to provide any additional resources, such as professional photographers or props, there may be an additional cost involved.

We have multiple options for Content Creator packages. The images and videos produced during the content creation session will be provided to you through a shared link that will expire after a certain period. Please ensure that you save all the images and videos received via email.

Reminder that our images are OUR ART and our editing styles are our own techniques and is different to other photographers - please be mindful if you wish to have images re-edited there may be additional fee. It is super important to see our portfolio of our work to make sure our photography and editing lines up with your vision.

It is important to note that while we are skilled in taking epic photos and editing them to match your desired colour themes, we are a free lancer photographer and this is OUR art. We will use a combination of our Professional Sony camera and iPhone 14 Pro Max to capture the content, while videos will be recorded using the iPhone 14 Pro Max.

OVERALL

CONTENT RIGHTS

By submitting content to us or participating in any of our content or photography sessions, you grant us the right to share and use that content. We may use the content on our own social media accounts to showcase our work and demonstrate the results we can achieve. However, please be assured that we will handle your content with care and respect your privacy.

Please note that sharing our online courses or materials without prior consent from Stay A Wildflower is strictly prohibited.

REFUNDS

While our aim is to go above and beyond to satisfy each and every client, we have a no-refund policy for services requested and canceled before or after their delivery. We understand that unexpected circumstances can arise, such as inclement weather, illness, accidents, or unforeseen events like the COVID-19 pandemic. In such cases, we are open to rescheduling, pausing, or offering alternative solutions of services instead of providing a refund. This is because administrative planning and potential income loss due to last-minute rescheduling can create challenges for us in filling the vacant spot quickly enough. We will always communicate with you and find the best possible solution to address any unexpected situations.

However, there may be instances where we may offer a refund for a service. This would occur if we are unexpectedly unable to deliver the agreed-upon service. In such cases, we will notify you in writing, and the refund process may take up to 10 business days to complete.

Please note, weather related circumstances such as rain, storms and wind are out of our control, we can’t predict the weather. By booking in a content session with me, you understand there is no refund for weather inflicted scenarios. We have to make sure not only the safety of yourselves but for my equipment and self too. However we are completely understanding for rescheduling your sessions during bad weather, even if your session is inside (lighting could be terrible if you rely on natural lighting) or out.

By purchasing any services from Stay A Wildflower, you acknowledge that you have read and understood these terms and conditions, including the no-refund policy. Your satisfaction is important to us, and we value your feedback. If you are not satisfied with our work, please reach out straight away so that we can take the necessary actions to meet your expectations.
